Proposals explained

A proposal lets you set expectations, present your services, highlight their value, and secure timely payment—all in one document that the client reviews and signs.

Proposals at a glance

Here is what you can do with proposals:

  • Promote your brand — communicate your company’s principles, outline services, and give clients a clear picture of how your firm will work with them to deliver value.
  • Add terms — safeguard your firm from lawsuits by including industry-vetted engagement letters that outline the terms of the relationship between your firm and the client.
  • Issue invoices with the proposal — send a one-time or recurring invoice and request a deposit from the client upon acceptance.
  • Get paid automatically — let clients authorize automatic payments (e.g., subscribing to recurring services ) so future payments are processed without manual work; this requires a connected payment provider and a contact with signing authority on the account.
  • Send a pricelist — include a list of services that can be easily converted into an invoice once the client signs the proposal, useful when you’re not ready to send a full invoice yet.
  • Reuse templates — save time by creating a proposal template with your firm’s info and terms pre-filled, then add packages, invoices, or services when you send it.
  • Offer packages — let clients choose between multiple service tiers instead of a single fixed offer.
  • Request deposit ask for a deposit to collect partial payment upfront.

How proposals work

In general, the proposal workflow is:

  1. You send the proposal to the client.
  2. The client receives an email and a notification in their portal and mobile app.
  3. The client clicks the link in the email and is taken directly to review the document.
  4. If they agree to your terms, they authorize a secure payment and e-sign the proposal.
  5. After signing, they receive a confirmation notification.

Automate processes with proposals

You can use service packages in proposals with automatic tag assignment to set up conditional automations in your pipelines. When a client signs a proposal for a specific package, TaxDome automatically assigns the corresponding account tags. This lets you create tailored workflows for different service tiers, so each client automatically receives the appropriate level of service based on their package. For example:

  • Essential package clients receive basic document requests and standard communication
  • Growth package clients get dedicated account managers
  • Premium package clients trigger comprehensive workflows with priority support and advanced service deliveries

If you have proposals tailored to different types of clients, you can create multiple templates with all the necessary information ready, so the right one is sent automatically via pipelines .

Once a proposal is sent, you can view its status, manage signatories, and make changes from the proposal list .

Where to find the proposal once it’s sent

Once the proposal is created, you can find it on the Billing > Proposals & ELs page from your left menu bar. From here, you can:

Client view

When you send a proposal, the client receives a notification via email, mobile app and client portal . They need to open and sign it.

When a proposal includes packages, the client sees a clean, professional layout showing all available packages. They can compare features and pricing across all tiers, select the package that best fits their needs and budget, and sign the proposal immediately after making their selection.
