TaxDome Kiosk
TaxDome Kiosk in the TaxDome mobile app is an in-office workflow for firms that see clients face-to-face. Turn your office tablet into a secure client station where clients can sign documents, pay invoices, review files, and scan papers—without logging into a portal or handling printed forms.
Before you start
TaxDome Kiosk is designed for firms with clients who frequently visit the office. Instead of printing documents, use a tablet to display information and collect e-signatures securely.
Requirements:
-
A tablet (iPad or Android). Phones are not supported for TaxDome Kiosk
-
TaxDome Firm Mobile App installed (version 3.4.0+)
-
The staff user logged into the tablet must have access to that client’s account (firm owner, admin or employee with access)
-
Camera permission enabled for the Firm Mobile App (required for scanning)
Enter TaxDome Kiosk
To start TaxDome Kiosk, use the mode-selection screen that appears right after login to the mobile app or tap Client Kiosk on the main screen.
You need to enter your passcode to access TaxDome Kiosk. This ensures security by preventing clients from accessing firm information.
Select a client
-
Search for or select the client account.
-
Select the specific contact who is in your office. If both spouses come to the appointment, you can select both of them before starting the kiosk session.
- Verify that you’ve selected the correct client before proceeding. The device switches into kiosk view for that client.
What a client can do
After the client is selected, they can see all tasks assigned to them.
If new tasks are added during the visit—for example, a preparer sends an additional signature request while the appointment is underway—tap Refresh above the tasks list to pull in the latest tasks, documents, and invoices without restarting the session. Refreshing doesn’t reset progress on anything the client has already started.
Fill out organizers
Clients can fill out organizers assigned to them directly on the tablet—no portal login required. An organizer appears in the tasks list as Fill questionnaire, along with an estimated time to complete and the organizer’s name.
Organizers open section by section. A sidebar on the left lists all sections and their completion progress, with the current one marked In progress. Answers save automatically as the client fills them in; they click Next section to move forward, or Save & Exit to leave and pick up where they left off later—for example, by continuing on their own device.
If the client has already submitted an organizer using the same template, a banner offers to pre-fill the current one with their previous answers—handy for details that don’t change from year to year, such as addresses or dates of birth. They click Pre-fill to apply it, or Change source if more than one previous organizer is available.
If a client needs help, staff can also fill in the organizer on their behalf .
Note
Kiosk currently supports questionnaire organizers. If an organizer includes a document checklist , use Scan documents to collect those files in office instead.Sign documents
Clients can sign pending signature requests directly on the tablet with their finger—no portal login, no printed forms. Once all signers have completed the document, it’s saved to the client’s account in TaxDome.
Signatures completed in person through Kiosk are marked Signed in person in the document’s audit trail and on the Certificate of Completion.
If the document needs signatures from more than one contact on the same account—for example, both spouses on a joint return—TaxDome Kiosk automatically hands the tablet off to the next signer.
Note
KBA is not required for Kiosk signatures because the client is signing in person. Instead, verify the client’s identity by checking their government-issued photo ID before they sign.Review documents
Clients can open documents that your firm has sent via Request client approval. In the kiosk view, the client sees Mark as reviewed.
Note
This does not update the document status inside TaxDome. It is a local confirmation only. Rely on the client’s verbal confirmation during the visit. System-level approval will be added in a later phase.Pay invoices
Clients can pay invoices assigned to them. The tablet only displays the amount and a QR code—no card data is ever entered on the kiosk device. The payment itself happens on the client’s own phone.
On the tablet:
-
The client taps Pay invoice and sees the amount due along with a QR code.
-
The client scans the QR code with their phone camera.
-
The client completes the payment on their phone.
-
The client taps I paid on the tablet to move forward in the kiosk flow.
Note
The I paid button is a self-report—it advances the client through the kiosk flow but does not change the invoice status in TaxDome. The invoice is marked as paid only once Stripe confirms the payment.
What happens on the phone after the scan depends on whether the TaxDome client mobile app is installed:
-
No client app installed: the QR code opens the web payment page in the phone’s browser, with no login required
-
Client app installed: the QR code deep-links straight into the app
If the client wants to pay offline (cash, check, or another offline method), the firm will need to record the payment manually in TaxDome .
Scan documents
Clients can scan paper documents directly from the kiosk device. The scanned files will upload to the client’s profile.
Recently uploaded files appear under Recent uploads in the sidebar. Clicking a file opens it in a viewer, where the client can page through the other uploaded files. Each file’s three-dot menu offers options to rename or delete it, and View all opens the full list of documents uploaded during the session.
Renaming a file also lets the client add a short description—for example, to note what the document is or why it was uploaded.
Continue work on their own device
Clients can continue from the office to the online portal or mobile app: scan the QR code to the client mobile app, or send themselves an email link to log in later.
Switch between contacts
If you selected multiple contacts from the same account (such as spouses) when starting the session, TaxDome Kiosk automatically prompts the next signer during multi-signature flows. You can also change the active contact yourself at any time without ending the session.
End a session
The session automatically ends after 15 minutes of inactivity. To end it manually:
-
Tap the account selection, then End session.
-
Enter your passcode to return to the client selection screen. The passcode requirement ensures clients cannot access firm data or other client accounts.
Security and controls
-
No client passwords are ever used or shared in TaxDome Kiosk
-
Clients cannot access firm settings, other clients, contact lists, or internal data—everything is protected by the staff member’s biometrics or passcode and 2FA
-
If the client tries to exit or navigate away, the device returns to the kiosk gate and never shows the firm UI
-
The session automatically ends after 15 minutes of inactivity
