Reporting explained

The Reporting feature turns your firm’s data into analytics you can use to track team productivity and firm performance. This article covers the key aspects of Reporting, from prebuilt reports to AI search and building your own reports.

Reporting at a glance

Reporting offers customizable analytics based on your firm’s invoices, time entries, jobs, tasks and pipelines data, helping you make data-driven decisions.

You can:

  • Ask AI to create reports with specific data and save them as Answers—for example, average time entry rate or average invoice amount—automatically visualized as graphs, charts or pivot tables.

  • Use a prebuilt set of reports ( Dashboards ) on one page to explore a specific dataset—Time utilization, Revenue monitor, Team capacity and more.

  • Create your own reports with the Report designer .

  • Create your Dashboards based on saved reports.

  • Drill down to every single report and browse the underlying data.

  • Set up alerts based on the report data.

  • Export reports to a spreadsheet or a PDF.

Note

Reporting is available to the firm owner, admin, and team members with the View reporting access right. This access right grants visibility into all data used in reports, including invoicing and payments, regardless of a team member’s other access rights.

Prebuilt sets of reports

We’ve created prebuilt sets of reports that you can access from Dashboards or the Overview page:

  • Revenue monitor: Explore analytics based on your invoices to track the firm’s revenue flow. This Dashboard helps you answer questions such as What customers and services drive revenue? or Which clients owe you money?

  • Tasks and jobs assignments: Get details for task management based on your workflow. This Dashboard helps you answer questions such as What is staff performance?

  • Time utilization: See what’s going on with billable time in your firm based on time entries. These reports help you answer questions such as Do we bill enough to cover costs?

  • Time variance: This Dashboard compares the job time budget with the actual time spent. It helps you answer the questions: Was the planning accurate? What can I do to improve the estimations or align the actual time spent with them?

  • Team capacity: This Dashboard compares the weekly time capacity you set per employee with the actual time they worked. It helps you answer the questions: Which of my employees is overloaded? What is the total remaining capacity for the team or individual employees for a given period?

Explore any report inside the prebuilt Dashboards , download it, or view the underlying data.

Generate reports with AI search and Report designer

Aside from using the prebuilt reports, you have the option to create your own. You can either use AI search to generate quick reports or build more complex ones using the Report designer.

AI search

AI search helps you generate reports right from the Reporting > Overview page, where it is labeled Spotter. It understands natural-language questions, analyzes your query against the data source you select, and returns a report with a chart.

When you search, you can also find relevant reports that are already used in your Dashboards.

Report designer

You can build your own reports with the Report designer , which includes data from invoices, time entries, jobs, tasks and pipelines.

  • Type in keywords in the search field, such as “Invoice Amount by Customer 2023” to retrieve reports with real-time data.

  • Choose the right visualization—graphs, charts or pivot tables—for the extracted data.

  • Save reports for everyday use, then pin them to your Dashboards.

Watchlist

The Watchlist section on the Reporting > Overview page shows tiles for reports you want to monitor. Each tile displays the report name, key value, reporting period, and change from the previous period.

Click Add to watchlist to pin a tracked report. Hover over a tile to create an alert , copy its link, or remove it from watchlist.
