Migrate docs from Drake to TaxDome

Drake stores client documents in two different places, depending on how your firm uses it: online in Drake Portals (Drake’s client portal), or locally in Drake Documents (the desktop archive). Use whichever section below matches where your files are.

Drake Portals

If your firm uses Drake’s client portal instead of the desktop archive, TaxDome has an export tool built for Drake Portals, and our team runs it with you—your client folders come out ready to import, with your existing structure preserved.

Note

Drake Portals was formerly called SecureFilePro—you may still see that name in your portal URL.

Step 1. Get your client list into TaxDome first

Your documents are matched to your existing TaxDome client accounts, so bring your client list over before the documents. Follow Migrate CRM data to TaxDome in 3 steps .

Step 2. Export your documents from Drake Portals

This is the part our team handles with you. During a scheduled call, we sign in to Drake Portals on a local computer running Google Chrome and export every client’s documents in one pass, preserving your existing folder structure.

Get started

This step is a paid service, often included free as part of onboarding—ask your onboarding manager or TaxDome representative for details, or tell us about your setup and request a migration .

Step 3. Import your documents into TaxDome

Once your documents are exported to a computer as one folder per client, bring them in with the web migration tool : select the folder, review how the folders match your client accounts, and start the import.

Drake Documents

To export documents from Drake Documents, download an archive with your clients’ folders to your computer and unzip it. Let’s examine these steps in more detail.

  1. Open the Drake Documents program and go to Setup > Options.

  2. Find the location by looking in the Archive Cabinet Data Path field.

All folders will be loaded in alphabetical folders A, B, C, etc., in your specified location. Then, within each folder are the clients starting with that letter, with years listed below with subfolders and files.

Folder / File
├── A/
│   ├── Adam Smith/
│   ├── Alex Carter/
├── B/
│   ├── Bella Morgan/
│   ├── Ben Cooper/
└── and so on
  1. Get rid of alphabetized folders. To do this, move all client folders to one common folder.

Once your files are exported, continue the migration by importing your CRM data and then importing your documents into TaxDome .
